Data of interested parties

Members' personal data is processed to respond to inquiries from interested parties. The legal basis is Article 6 (1) (b) and (f). The data will be deleted three months after the inquiry has been processed and then stored for six years.


Member data

Members' personal data is processed to pursue the association's goals, for member support and administration (member letters, etc.), for birthday greetings, for invitations to work assignments and events, for securing necessary accident insurance coverage (active members), for recruiting donors, and to fulfill reporting obligations within the EU and legal obligations (tax authorities, etc.). The legal basis is Article 6 (1) (b), (c), and (f). Every member can object to the use of their data in the association's publications and in the volunteer list. The data will be passed on to banks (for membership fee collection), tax advisors, authorities, and accident insurers (active members). The use of data from board members and auditors can be found at www.kvn1840.de. The data will be deleted 6 years after the end of membership.


Donor data

Donors' personal data is processed to process the donation, including issuing the donation receipt, and to fulfill legal obligations (tax office, etc.). The legal basis is Article 6 (1) (b), (c), and (f). Furthermore, this data will be published for the information of members and online, if the donor consents; the legal basis is Article 6 (1) (a) GDPR. The data will be shared with banks (for membership fee collection), tax advisors, and authorities. The use of data from board members and auditors is available at www.kcd2003.de. The data will be retained for the duration of the statutory retention periods.


Photo date

We take photos during work assignments and events, which may include individuals. We use these photos for member information, for information on our website, for association publications, for press releases, for member and donor recruitment, and for archiving purposes. Any person depicted may object to the use of the photos in which they appear in the association's publications. Use is based on Article 6 (1) (a), (f), and (f) in conjunction with Sections 22 and 23 of the German Copyright Act (Kunsturhebergesetz). If consent has been given, use is based on Article 6 (1) (b), (c), and (f) of the GDPR.


Data from service providers and suppliers

We process the personal data of service providers and suppliers for the purpose of pre-contractual measures, the conclusion and fulfillment of contracts with the service provider or supplier. The legal basis for data processing is Art. 6 (1) (b), (c), and (f) GDPR. To the extent that personal data of contact persons is processed, the legitimate interest lies in the execution of the contract with the supplier and service provider. We share the data with other service providers, helpers, and authorities within the scope of our legal obligations. The data will be stored for future orders and deleted upon request of the data subject.
